Your Wedding Limousine Timeline: When to Book, What to Ask and How to Plan the Day
Most couples in Castle Rock start thinking about the wedding limousine after the venue, the photographer and the dress are settled. That is usually fine, but the best vehicles for popular Saturdays from May through October go early. This timeline covers when to book, what to ask and how to build transportation into your wedding day so it runs on time.
9 to 12 Months Out: Pick a Date and Get a Quote
As soon as your date and venue are confirmed, ask for a quote. You only need three details: the date, the number of people riding and the rough schedule (getting ready, ceremony, photos, reception). If your ceremony and reception are at different places, such as a church in Castle Rock and a reception in Sedalia or Larkspur, mention both so the quote covers the full route.
6 Months Out: Choose the Vehicle
Match the vehicle to the moments that matter to you:
- White Cadillac Escalade stretch (up to 20): the classic look for photos and room for the full wedding party.
- White Mercedes GLS stretch (up to 16): a brighter, modern interior with soft lighting.
- Black Lincoln MKT (up to 10): quiet and elegant for the couple’s exit.
- JET CEO Sprinter (up to 9): captain chairs for the bride and bridesmaids who want room to breathe.
- Sprinter shuttles or a coach: to move guests between a hotel, the ceremony and the reception.
3 Months Out: Build the Timeline
Write down every pickup and drop-off with an address and a time, then add a buffer. Photos almost always take longer than planned. We suggest 15 extra minutes between the ceremony and reception, and more if you plan a photo stop at a scenic spot. Remember that most bookings have a 4-hour minimum, and Friday to Sunday bookings in high season have a 6-hour minimum, so plan the hours around the moments you want the limousine in your photos.
Questions Worth Asking Any Limousine Company
- Is the company licensed and insured?
- Will the vehicle in the photos be the vehicle that arrives?
- What does the chauffeur wear, and is a red carpet included?
- How is overtime handled if the reception runs late?
- Can you decorate the vehicle with ribbons or a sign?
1 Week Out: Confirm the Details
Send your final timeline, the names and phone numbers of your planner and a point of contact in the wedding party. Confirm the pickup addresses one more time, especially at rural venues where GPS can be unreliable.
On the Day: Let Someone Else Watch the Clock
Your chauffeur arrives early, keeps an eye on the schedule and has the car ready for the grand exit. All you need to do is enjoy it.
